Understand Google Workspace invoices

Your Google Workspace invoices are issued monthly per billing profile.

Invoice line items​

To view your invoices in the DoiT Console, select Billing from the top navigation bar, and then select Invoices. You can use the Google Workspace icon to filter the results.

Google Workspace order summary

The line items contain multiple fields, including:

  • Description: The Google Workspace editions and other paid subscriptions that you're being billed for.

  • Details: The period of time that the costs were incurred and the domain of your Google Workspace subscription.

  • Units: The quantity of billing units associated with the subscription. For example, the number of licenses.

  • SKU: The purchasable Stock Keeping Unit (SKU) of the Google Workspace subscription.

  • PPU: Price Per Unit.

Payment calculation​

When viewing your invoice, be aware that how the number of your users or licenses affects your monthly charge depends on your billing plan.

For example, suppose you have a subscription that shows Quantity: 416/506 on its asset card:

  • With the Flexible Plan, you'll be billed for the 416 licensed users in your organization.

  • With the Annual/Fixed-Term Plan, you'll be billed for the 506 licenses you signed up for through a commitment plan.

Prorated payments​

Each month, DoiT charges you for the number of licensed users or licenses your organization had per day during the previous month. A prorated payment for a partial month can happen if there are changes to your subscription during the billing cycle. For example:

  • You're on the Flexible Plan and add or remove licenses during any month.

  • Your subscription price is adjusted in the middle of a month, for example, you upgrade your subscription.

Example​

The invoice below contains prorated charges to reflect subscription changes during a month:

  • The 20% discount expired on February 14. You're charged the full price starting February 15.

  • You had 66 licenses in the first half of the month and 59 in the second half.

  • PPU calculation: the monthly payment of the subscription with Flexible Plan is US$12 per user, which translates to the February daily cost of 12/28 = US$0.428571429 per user.

    • The period of 2023/02/01 to 2023/02/14 covers 14 days, its PPU is 0.428571429 × 14 = US$6.00.
    • The period of 2023/02/15 to 2023/02/15 covers 1 day, its PPU is 0.428571429 × 1 = US$0.43.
    • The period of 2023/02/16 to 2023/02/28 covers 13 days, its PPU is 0.428571429 × 13 = US$5.57.
